Understand file processing status

After every upload or import, Quorum indexes the file in the background so search and briefings can use its content. The Files page keeps you informed with two small signals, and knowing what they mean saves guesswork.

The spinner

While a file is being indexed, a spinner appears in place of its type icon. The file is already stored safely at this point. Indexing usually takes a few seconds, a little longer for large documents. The list updates itself, so you do not need to refresh.

Your file is downloadable during this time. Only search and briefing availability wait for indexing to finish.

The warning triangle

If indexing hits a problem, a small orange warning triangle appears next to the file name. Hover over it to read what went wrong. The file itself is stored and can be downloaded regardless.

Common causes:

• Password-protected or corrupt documents. Quorum cannot open them to read text. The file is kept, treated as having no readable text. Upload an unprotected copy if you want it searchable.
• Temporary indexing hiccups. Quorum re-attempts indexing on its own over time, and replacing the file's content also triggers a fresh attempt.

Files that produce no searchable text

Some files complete indexing quickly with nothing to index, and that is expected:

• Images, audio, video and archives contain no readable text. They are stored and found by file name.
• Scanned PDFs that are pure images have no text layer, so there is nothing to read. If the document matters for briefings, a text-based export from the original source will index fully.

When search feels out of date

Search reflects a file's indexed content. Right after replacing a file's content there is a short window while re-indexing runs, during which search still reflects the old version. The spinner shows during this window. Once it clears, search matches the new content.

If a file you expect to match a briefing never seems to be picked up, check it for the warning triangle first, then confirm it is a text-bearing format rather than a scan or an image.
