Delete files and understand what happens next

Deletion in Quorum storage is deliberate and complete. When a file goes, its content, its download availability and its search presence go with it. Because that is irreversible, deleting is reserved for workspace admins.

Delete a single file

  1. On the Files page, use the Delete action on the file's row.
  2. Confirm in the Delete file? dialog. It reminds you the file will be permanently deleted.

Delete several files at once

Enter selection mode by clicking a file's type icon, select the files, and choose Delete in the selection bar. Each file is deleted individually, so if one fails the rest still complete, and the ones that failed stay selected so you can retry them.

What deletion removes

Deleting a file removes the stored content, the extracted text and the search index entries together. The file stops matching searches immediately and can no longer be used by briefings. There is no recycle bin, so download a copy first if you are unsure.

Deleting files that came from Microsoft 365

Synced files mirror their source. If you delete an imported file inside Quorum while its original still exists in OneDrive or SharePoint, the next sync pass will notice the gap and re-import it, because sync's job is to keep your library matching the source. To remove synced content for good, do one of the following instead:

  • delete the file at the source, in OneDrive or SharePoint, and let sync mirror the deletion
  • turn off Sync personal files ("My Files") if the goal is removing personal-drive content
  • disconnect the source and choose Remove files when asked what to do with the imported files

Retention and leaving Quorum

Files stay in your workspace until someone deletes them or a sync mirrors a deletion from the source. There is no automatic expiry of your documents. The security audit trail that records access to your files is kept for 180 days.

If your organisation offboards from Quorum, your data can be exported first, and the workspace's stored content is then made permanently unreadable, including in backups. Contact support to arrange an offboarding export.
