Create a meeting and its briefing podcast

A meeting in Quorum Podcasts turns the documents behind an upcoming meeting into one spoken briefing episode per attendee, so everyone arrives prepared without reading a pile of files. You create it in a three-step wizard: Details, Scan, and Files.

Step 1: Details

Open New meeting in the sidebar and fill in the form.

  1. Title is required. Something specific like "Quarterly Strategy Update" gives the file scan a much stronger signal than a vague name.
  2. When sets the meeting date and time.
  3. Estimated meeting length (minutes) defaults to 10 and helps the hosts frame the briefing.
  4. Meeting goals is optional but powerful. As the form says, it helps Quorum pick the best content for the podcasts and focus each episode on what the meeting needs to achieve. Goals are the strongest signal the scan has.
  5. Attendees is a search over your workspace members. Type a name or email and pick people from the dropdown. You can also type @all to add the whole workspace, or #domain (for example #finance) to find people by what they work on, matched against the profile each person saved in Preferences.

The attendee dropdown supports the keyboard: the arrow keys move the highlight, Shift picks or unpicks a row, Enter adds the picked rows (or all results when none are picked), and Tab adds the top row while you keep typing.

Every attendee you add will receive their own briefing episode. Only workspace members can be attendees, because an episode is generated and billed per attendee and only a Quorum account can receive one.

Press Next to save the meeting. The file scan starts immediately.

Step 2: Scan

Quorum scans your workspace storage for material that helps attendees prepare. You will see a progress bar move through "Matching files" and then "Reviewing matches", and an Actions timeline that follows along as the AI reads, judges, and cross-checks your files. A context card below the progress bar recaps the details steering the scan. If something there looks off, the Back button takes you straight to the details step.

Step 3: Files

When the scan finishes you review its proposal.

  • Suggested files are ranked by relevance to the meeting. Uncheck anything that does not belong.
  • Files carrying a Verify badge were flagged for a human check, with a short "Double-check" note explaining why.
  • A Foundational badge marks older material the scan judged still current, such as policies or reference documents.
  • All other files lists the rest of your storage grouped by folder, with a select-all checkbox per folder, so you can add anything the scan missed.

You can also switch the time window with the chips at the top: Auto, 30 days, 3 months, 12 months, or All time. Auto favours recent files while protecting foundational material. A bounded window is a hard cutoff, and the page warns you that Quorum will not be able to consider foundational material older than the cutoff date.

When the selection looks right, press Create podcast. At least one file must be selected. The meeting moves to Generating and each attendee's episode is written and voiced in turn.

Editing a meeting later

While a meeting is in Needs review you can reopen the details and press Save & rescan, which reruns the scan with the new details. Once the podcast is generating or completed, meeting details can no longer change. You can still use Rescan files on a completed or failed meeting to start a fresh scan, for example after uploading new documents.
