How the file review step works, what the Verify and Foundational badges mean, and how the time window chips change what the scan considers.

Review suggested files and time windows
The Files step of the meeting wizard is where you decide exactly which documents feed the briefing. Quorum proposes a selection, explains its reasoning, and leaves the final call to you.
Suggested files
The Suggested files card lists the files the scan matched, ranked by relevance to the meeting. Each row shows the file name, its folder, and a one-line summary of what the file contains. Files the AI judged genuinely useful arrive pre-selected. Simply uncheck anything that does not belong.
The Verify badge
A file with an orange Verify badge was matched by the search but judged probably not useful by the AI reviewer. It stays visible so you can overrule the call, and a short note starting with "Double-check" explains what the file actually is and why it likely does not belong. Tick the box if you disagree.
The Foundational badge
A blue Foundational badge marks an older file the reviewer judged still current, such as a policy, a standard, a contract, or the origin document of the topic under discussion. It is included despite its age because its value does not decay.
Hidden files
Files the reviewer found completely unrelated to the meeting are not shown among the suggestions. They remain available in the All other files list below, so nothing is ever out of reach.
All other files
Everything else in your storage appears grouped by folder. Files at the root render flat, and named folders collapse behind a header with a select-all checkbox, so adding a whole folder such as a board pack takes two clicks. Add anything the scan missed and it will be read by the summariser alongside the suggestions.
Time windows
The chips at the top of the suggestions card control how far back the scan looks:
- Auto favours recent files. Older files fade in the ranking, but foundational material is protected and can even pull in related files from the same era.
- 30 days, 3 months, and 12 months are hard cutoffs. Only files from inside the window are considered, and the page warns that Quorum will not be able to consider foundational material older than the cutoff date.
- All time considers everything with no recency preference.
Switching a window reruns the scan for that range. Quorum remembers the results of each window you have already scanned for this meeting, including your manual selection tweaks, so switching back restores the earlier state instantly without a rescan. Changing the meeting details clears these cached results, because the details drive the matching.
Rescanning
If you upload new documents after a meeting is completed or failed, open the meeting and press Rescan files. The meeting returns to the scan step, produces a fresh proposal, and you can create the podcast again from the new selection.
